Club paperwork shouldn’t depend on one volunteer’s spreadsheet.
Most clubs run on a mix of spreadsheets, an old database, a folder of paper and the memory of whoever has held the job longest. That works, until it doesn’t.
Renewals chased by hand
Matching bank deposits to names, sending reminders one by one, and working out who is still financial in time for the AGM.
Log books in a folder
Which books are current, which have expired, and which members have lapsed but still hold one. The Scheme expects clubs to know.
Yearly reports rebuilt every year
The Registrar and the Federation each want a report within months of the financial year end, and someone pieces it together again from scratch.
Knowledge that leaves at the AGM
When a secretary or registrar steps down, the spreadsheet, the passwords and the know-how often go with them.
Everything the committee looks after, in one place.
- Memberships and renewalsMembership types, the club year, who has renewed and who is outstanding.
- Invoices and paymentsDues and invoices, payments recorded against them, and who still owes. Online payments are coming soon.
- Vehicles and log booksEvery vehicle against its owner, and every log book through its life.
- The Conditional Registration SchemeLapsed members with log books, and the yearly reports in one click.
- EventsPublic event pages to share, with RSVPs.

Members, renewals and dues, without the spreadsheet.
See who is a member, what type of membership they hold, and who has renewed this year. Raise dues, record payments and see who still owes.
Online renewal payments are coming soon. Members will pay straight into your club’s own Stripe account, not through us.
Log books and the Conditional Registration Scheme, handled.
Clubs on the scheme answer to the Registrar and to the Federation of Historic Motoring Clubs SA. MemberCrew keeps every vehicle against its owner, and every log book through its life.
- Each log book recorded as current, expired or cancelled
- A list of lapsed members still holding log books
- The Registrar’s yearly report in one click
- The Federation’s yearly report in one click
Events and reports from the same records.
Give each event a public page you can share with members and anyone else. Pull the figures the committee and the AGM ask for, straight from the club’s own records.

Built by people who protect systems and data for a living
MemberCrew is built and run by ZenByte Australia Pty Ltd, an Adelaide managed IT services provider and web studio. Day to day, ZenByte looks after the IT, cyber security and Microsoft 365 of South Australian businesses, so security and privacy are built into MemberCrew, not bolted on.

Questions committees ask
Who owns our data?
Your club does. Committees can download a full export of all the club’s records at any time. If a club leaves, it gets a complete export, and its data is deleted on request once the club confirms it has the export.
Is it secure?
Your club’s data is stored in Australia, in Sydney. Each committee member only sees what their role allows: an events editor, for example, sees no money or contact details. Every change is recorded in an activity log showing who did what, and when.
What happens to our old system?
You can keep using it during the changeover. We import its records, members, payments, vehicles and log books, into MemberCrew, and keep MemberCrew up to date from the old system until your club is ready to switch over.
Can members pay online?
Not yet: online renewal payments are coming soon. Members will renew in the member portal and pay straight into the club’s own Stripe account, with MemberCrew taking no cut. Today the treasurer records payments made by bank transfer, cash or cheque, including part payments.
How much does MemberCrew cost?
One core plan, priced by your club’s number of current members: $150 a month for up to 100 members, rising in bands to $550 a month for up to 1,000. Clubs over 1,000 members get a quote. The band is set once a year at your renewal date, and paying yearly gets you one month free. All prices are in Australian dollars and include GST.
Is MemberCrew only for South Australian clubs?
It is built for South Australian clubs first, which is why it handles the SA Conditional Registration Scheme’s log books and yearly reports. Everything else, from renewals to events, works for any motor vehicle club, so clubs elsewhere are welcome to talk to us.
See it with your own club in mind.
Bring whoever does the club’s paperwork. We will show you around and answer the committee’s questions.
